We are looking for an Executive Secretary to join our team.  Prior experience in a corporate communications environment is highly desired. This position will report to the Chief Network Officer and requires administrative support experience as well as the ability to maintain a high level of confidentiality. 

The skills necessary for this position include:

•         Strong working knowledge of basic grammar and business English

•         Excellent organizational skills and the ability to handle multiple tasks

•         Advanced PC skills and understanding of MS Word, Excel and PowerPoint        Ability to use automated office equipment and replenish supplies

•         Strong verbal and written communication skills

•         Problem solving and decision making skills

•         Reliable and punctual

•         Team player with the ability to work in a fast paced environment.

Primary Duties and Responsibilities:

  • Arrange and plan travel for multiple executives
  • Maintain executive calendars and govern time including meetings, functions, and conference calls
  • Research and distribute calls to ensure prompt resolution
  • Assist with and organize initiatives and projects
  • Independently prepare correspondence, maintains records, presentations, charts, graphs, spreadsheets and databases
  • Works with minimal supervision and is responsible for an established range of decisions, escalating to the proper executive when necessary and provides updates on a regular basis
  • Expedites work through proper channels, maintains regular and follow-up files and confidential data
  • Maintain phone and mailing lists
  • Process and review expense reports
  • Work on special projects incorporating confidential budgeting and financial information
  • Assist with human resources systems
  • Arrange catering for various meetings and events
  • Maintain and order office supplies
  • General administrative office responsibilities such as filing and copying
  • Scheduling and maintaining corporate communications calendar
  • Resourceful in getting tasks done through multi-tasking and creative thinking skills
  • Ability to anticipate needs and possess the initiative to address them
  • Ability to work in a fast-paced environment and easily adapt to change
  • Liaison with other senior leadership EA's and functional areas of the company

Minimum Requirements:

•         High School diploma or equivalent and 4+ years experience with 3+ years directly related to the job. College hours or a college degree may be substituted for some experience as deemed appropriate.
